Who runs this site

This website is run by the Wheeler Pond Homeowners Association in Creedmoor, North Carolina, for the people who own homes in Wheeler Pond. It is not a public forum and it is not sold to advertisers.

What we collect

  • Your name, email address, street address in Wheeler Pond, and, if you give it, a phone number.
  • What you post or submit on the site: architectural requests, feedback, event RSVPs, contest entries, poll and election ballots, and messages to the board.
  • Sign-in details: a password we store only as a one-way hash, or the email address confirmed by Google if you sign in with Google. We never see your Google password.
  • Ordinary technical records such as the time of a sign-in and the pages a signed-in member opens, kept in an audit log so board actions can be checked later.

How we use it

  • To confirm you are a homeowner and to run the association: notices, minutes, dues information, meeting and election announcements, and architectural review.
  • To show other signed-in members only what you choose to share in the neighbor directory. Nothing about you is shown to the public.
  • To answer questions about the governing documents and to help the architectural committee read requests. For that, the text of the covenants and the text of a request may be sent to an AI model provider through Vercel’s AI Gateway. Your directory details, email address, and password are never sent there.

Ballots and votes

In officer elections the record of who voted is kept separately from the record of how ballots were marked, and the two cannot be joined. Board members can see turnout, never your choices. Informal polls work the same way. Board members’ own votes on board business are recorded by name, as open-meeting practice expects.

Who can see it

Board members and committee volunteers see the details they need for association business. Other signed-in members see only what you share. We do not sell or rent your information. Our service providers (website hosting, database, file storage, and email delivery) process data on our behalf under their own privacy terms and cannot use it for anything else.

Your choices

  • You can view and update your details from your Account page at any time.
  • You can leave the neighbor directory with one click, and choose exactly which details it shows.
  • You can turn email notifications on or off individually.
  • You can ask for your account to be removed from your Account page. Records the association must keep by law, such as election results and board minutes, stay in the association’s files.
